Manage tasks and deadlines
Quick summary: Keep each task’s owner, next action and deadline clear so colleagues can see what is ready, blocked or complete.
Create and follow a task
Section titled “Create and follow a task”- Open Project, enter the relevant project and create a task. Use a title that describes the deliverable, then add the expected result and necessary context in Description.
- Set Assignees and Deadline. Confirm who takes the next action if several people are assigned.
- Add an activity for the next follow-up and attach the working documents. Use internal notes for coordination; check recipients before sending a customer-facing message.
- Move the task to the stage matching the actual work. Record a blocker and the required next action rather than leaving colleagues to infer why progress stopped.
- When work is ready, request the required review. After acceptance, set the task status to Done and check that no unfinished work or running timer remains.
Stage and status are different
Section titled “Stage and status are different”A stage is a project-defined Kanban column. Status is the separate progress/closure indicator. Moving a card into a column named “Done” does not necessarily close it. Done closes the task; Canceled closes work that will not be performed. Reopen it by changing the status when more work is required.
Review indicators can reset when a task moves to another stage. Check the current status after moving the card. A deadline is a due date, not a resource reservation or a promise that someone has been scheduled.
Result and common problems
Section titled “Result and common problems”The task shows a responsible person, realistic deadline and current progress. Closing it does not automatically create an invoice; billing depends on the sales agreement and recorded work.
- A task seems missing: check project access, your assignee filter and whether closed or archived tasks are hidden.
- You cannot meet the deadline: notify the owner of the dependency and agree a new plan before changing the deadline.
- You need to bill time: record it using Timesheets; moving stages does not log hours.
