Sales orders in bank reconciliation
Quick summary: Set the customer on an incoming bank transaction, open the Sales suggestion, and create the invoice from the relevant sales order.
When the Sales suggestion appears
Section titled “When the Sales suggestion appears”Odoo checks the selected partner for sales orders that are not fully invoiced. When it finds relevant orders, Sales is available in the transaction’s ellipsis menu.
The menu displays a colored indicator and Suggestions when one order’s total exactly equals the transaction amount. This amount match is only a search aid: it does not prove that the customer, currency, order, or amount to invoice is correct. The opened order list is filtered by partner but can include other orders, so always verify the record yourself.
Create the invoice from the transaction
Section titled “Create the invoice from the transaction”- In Accounting, open the bank journal and enter Bank Matching. Expand the incoming transaction and check its reference, date, amount, currency, and payer.
- If the customer is missing or incorrect, click Set Partner and select the customer. Open the ellipsis menu and choose Sales.
- Review the partner-filtered sales orders. Open or select the correct order and check the customer, currency, order total, invoicing status, and products. Confirm the quotation first if your invoicing policy requires a confirmed order.
- Click Create Invoices. Choose Regular invoice when the full invoiceable order should be billed. For an advance or partial receipt, choose Down payment (fixed amount) and enter the amount received. Then click Create Draft.
- Review the draft invoice’s customer, lines, taxes, dates, currency, and amount. Post and send it according to your normal customer-invoice process.
- Return to Bank Matching and verify the transaction and invoice payment state. Current Odoo 19 versions link the created invoice to the originating transaction automatically. If the transaction is still open in your deployed version, click Reconcile, select the invoice, and click Select.
For a payment that settles more than one order, select only the orders covered by the receipt and check the resulting invoices and allocation carefully.
Choose between the two sales-order workflows
Section titled “Choose between the two sales-order workflows”Use this native process when you are already in bank matching and want to create a draft invoice from the customer’s order. It still requires you to review, post, and send the invoice.
If Implex Sale Reconciliation is installed, Sales > Reconciliation provides direct actions for exact payments, refunds, and partial payments. Its matching action can confirm the order, post and reconcile the invoice, and send it in one flow.
For transactions with an existing invoice or for differences that require manual allocation, use the regular bank reconciliation guide. See also the official Odoo 19 bank reconciliation documentation.
