Invoices To Be Issued: goods or services delivered without a matching invoice
Quick summary: Invoices To Be Issued shows sales order lines where delivered quantity exceeds invoiced quantity. Check whether the invoice has not been created, covers only part of the delivery, or is not correctly linked to the order. Then process the invoice or correct an inaccurate delivery record.
When to use the report
Section titled “When to use the report”Open Accounting > Review > Sales > Invoices To Be Issued. Review it regularly, preferably weekly, and at least at the end of every month. This prevents delivered goods or completed services from remaining unbilled.
An entry means delivered quantity > invoiced quantity. If you delivered 10 units and invoiced 7, investigate the difference of 3 units. This is not a list of all confirmed orders eligible for invoicing: an undelivered order does not appear solely because no invoice has been issued.
Before you start
Section titled “Before you start”Gather the sales order, delivery notes, evidence of delivery or service completion, invoices, returns, and credit notes. Check the contract or billing agreement, especially for partial deliveries and monthly services.
Check the entry
Section titled “Check the entry”- Choose the review date with As of; use the last day of the month for a monthly review. Check the company and filters.
- Expand the customer and compare delivered and invoiced quantities in the same unit of measure.
- Click the entry to open the sales order. Check every related delivery and invoice, not just the most recent document.
- Check returns and credit notes, and look for standalone invoices for the same customer and delivery.
- Check invoice status and date. Drafts can already affect invoiced quantity. If the difference becomes smaller or disappears, also check whether the invoices are actually Posted.
- Choose the appropriate scenario below.
1. The invoice has not been created
Section titled “1. The invoice has not been created”- Verify that delivery was completed and quantities are accurate. For services, check the actual hours, quantity, or achieved milestone.
- Open the order’s related invoices and ensure that no invoice or draft already covers the same delivery.
- Click Create Invoice. For normal delivery billing, select Regular invoice and create the draft with Create Draft.
- Review every proposed line and quantity. When billing ordered quantities, the draft may also include an undelivered part of the order. Align quantities with the billing agreement and the scope that should be invoiced.
- Check the customer, company, prices, discounts, taxes, Invoice Date, Accounting Date, and payment terms. Then click Confirm.
- Check the Posted status and send the invoice to the customer through the normal process.
If Odoo does not propose the appropriate invoice, check existing drafts, links, and the invoicing policy. Do not create a duplicate standalone invoice for the same delivery.
2. A draft exists but has not been completed
Section titled “2. A draft exists but has not been completed”- Open the existing draft and check which delivery and lines it covers.
- Complete missing information and resolve the reason it remained in draft.
- Verify quantities and prices, confirm the invoice, and send it to the customer.
- Look for another draft for the same event and handle it through the normal duplicate-prevention process.
A draft is not an issued, posted invoice even when the report already counts its quantities.
3. The invoice exists but is not linked to the correct order
Section titled “3. The invoice exists but is not linked to the correct order”- Find the invoice among the customer’s invoices. Compare the order reference, delivery note, product, quantity, and date.
- Establish whether the invoice line is unlinked or belongs to the wrong line or another order.
- Ask the sales invoice owner to correct the link if permitted. Otherwise, accounting chooses the appropriate invoice correction process while preserving traceability.
- Check invoiced quantities on both the intended order and any incorrectly linked order.
A manually entered order reference in the invoice description does not guarantee that the line is linked to the order. Do not issue another invoice before checking the existing one.
4. The invoice covers only part of the delivery or omits lines
Section titled “4. The invoice covers only part of the delivery or omits lines”- Compare each delivery note line with every invoice for the order. Establish whether the difference represents a subsequent delivery or an accidentally omitted line.
- Check any down payment invoice. A down payment does not replace final billing of the delivered products; also verify its correct deduction on the final invoice.
- If the remainder has not been billed, create an additional invoice from the order for the missing quantities. Check the draft so that already invoiced quantities are not billed again.
- If the original invoice is incorrect, accounting decides whether an additional invoice or a credit note and replacement invoice is appropriate. Explain the correction to the customer and send the relevant documents.
5. The delivery quantity is too high, duplicated, or on the wrong order
Section titled “5. The delivery quantity is too high, duplicated, or on the wrong order”- With inventory, check the actual dispatch, delivery note, and completed deliveries. Check units of measure and duplicate movements.
- If the goods were not delivered in the recorded quantity, inventory makes a traceable delivery correction and checks stock and valuation impacts. Do not invoice goods that were not delivered and are not yet billable under the agreement.
- For a customer return, check its record and link to the original delivery. A credit note without a record of the actual return can create an apparent unbilled delivery.
- For services, check incorrect or duplicated hours, quantities, and milestones. The responsible person corrects the record to reflect actual performance.
6. Billing is scheduled later or the customer disputes part of the service
Section titled “6. Billing is scheduled later or the customer disputes part of the service”A difference may be expected under monthly billing or billing after milestone acceptance.
- Check whether delayed billing follows the contract or agreement with the customer.
- Record the service period, missing acceptance, owner, and planned invoice date. Obtain any missing customer acceptance.
- For a dispute, document the disputed scope and agreed next steps; do not delete quantities just to remove the entry.
- At month-end, give the information to accounting to assess work already performed but not yet invoiced.
Example and result check
Section titled “Example and result check”You deliver 12 handles to Example Joinery Ltd. The first invoice covers 8 and there is no other invoice or draft. Verify the completed delivery of all 12, then create an invoice from the order for the remaining 4 handles. Review the draft, post it, and send it to the customer.
Refresh the report at the same date and check today’s position. If the invoice was issued after the month-end review date, the historical difference can be correct. Also check the Accounting Date for closing; do not change dates merely to remove an entry.
Record each outstanding difference on the order with its reason, owner, and deadline. Also check invoice posting and sending: matching quantities alone do not confirm either.
The report covers orders from approximately the year before the selected date. For historical reviews, check For the Last 365 Days and review older orders separately. See the overview of all four reports.
