Bill To Receive: goods or services received without a matching bill
Quick summary: Bill To Receive shows purchase order lines where received quantity exceeds billed quantity. Check whether the bill is missing, covers only part of the receipt, or is linked incorrectly. Then correct the documents or request the missing bill from the supplier.
When to use the report
Section titled “When to use the report”Review the report regularly, preferably weekly, and at least at the end of every month. Use it to find receipts without matching bills and completed services that have not been billed.
Open Accounting > Review > Purchases > Bill To Receive. In Slovenian, the label can appear as Račun za prejem or Računi za prejem.
An entry means received quantity > billed quantity. If you received 10 units but the bill covers 6, investigate the difference of 4 units, rather than the whole order.
Before you start
Section titled “Before you start”Gather supplier bills, receipt records, delivery notes, and any returns. For services, gather evidence of completion or acceptance. Involve accounting for posting and corrections, and purchasing and inventory for quantities.
Check the entry
Section titled “Check the entry”- Use As of to choose the review date; for a monthly review, select the last day of the month. Check the company and active filters.
- Expand the supplier, compare Received and Billed, and check the unit of measure.
- Click the entry to open its purchase order. Check all related receipts, bills, returns, and credit notes.
- Search vendor bills by supplier and bill reference outside the order as well. The bill may already be in Odoo without a link to this order.
- Check the bill date and document status. A draft can already affect billed quantity, so matching quantities do not confirm posting.
- Choose the scenario supported by the evidence below.
1. We have not received the supplier’s bill
Section titled “1. We have not received the supplier’s bill”The goods were actually received or the service performed, but no bill exists in your documents or in Odoo.
- Check email, electronic invoicing, and the agreed bill delivery channel. Ask the colleague who processes vendor bills.
- If the bill is missing, send the supplier the order number, receipt date, delivery note reference, and missing lines. Request the bill or confirmation of its issue date.
- Record an owner and follow-up deadline.
- When the bill arrives, enter it and link it to the correct order lines. Check quantities, prices, taxes, and dates, then post it through the normal process.
Do not replace a missing supplier document with an invented bill. Accounting handles any month-end expense accrual using the receipt evidence.
2. We have the bill, but it has not been entered or remains in draft
Section titled “2. We have the bill, but it has not been entered or remains in draft”- Search by supplier and bill reference before entering it to prevent duplication.
- Enter the actual document and link it to the order. If a draft already exists, process that draft.
- Compare its lines with the actual receipt. If correct, verify the Bill Date, Accounting Date, and taxes, then click Confirm.
- Check that the status is Posted. If the bill is not included at the selected date, check its date and order link.
3. The bill is not linked to the correct order or line
Section titled “3. The bill is not linked to the correct order or line”- Check the supplier, company, product, unit of measure, and quantity. The same product on two orders does not necessarily represent the same delivery.
- Open Purchase Matching on the existing vendor bill. For an unlinked line, select the appropriate bill line and order line.
- If Match (Keep Price) is available, select exactly one bill line and one order line. The action preserves the bill’s quantity, price, and discount but takes the product and unit of measure from the order. Verify compatible units first: 2 packs of 10 units are not 2 units.
- Recheck the bill and billed quantity on the order. If the line is already linked to the wrong order or the correction is restricted, ask the bill owner to correct the link.
Do not create another bill when the supplier’s bill already exists. When using the standard Match action, check every selected line and the result: unmatched products can change the composition of the bill.
4. The bill covers only part of the receipt or omits some lines
Section titled “4. The bill covers only part of the receipt or omits some lines”- Total the quantities on all bills and credit notes for the order. Look for a further bill covering the remainder.
- Establish whether partial or consolidated billing was agreed or whether lines were omitted accidentally.
- For an agreed later bill, record the expected date. For accidental omissions, send the supplier the missing products and quantities and request an appropriate additional or corrected document.
- Do not add quantities that are absent from the supplier’s document to the bill.
5. The receipt quantity is too high, duplicated, or on the wrong order
Section titled “5. The receipt quantity is too high, duplicated, or on the wrong order”- With inventory, compare the delivery note, completed receipts, and goods actually received. Check for an incorrect conversion of packs to units.
- If Odoo shows more than was received, inventory must make a traceable correction using the normal process. For an incorrect completed receipt, check the appropriate reverse operation; it must clearly document a record correction.
- If the receipt belongs to the wrong order, correct both the incorrect and intended records. Check the impact on stock and valuation.
- For a service, correct the accepted received quantity using evidence of the service actually performed.
Do not request an additional supplier bill for goods that were never received.
6. Dates, a return, or a credit note explain the difference
Section titled “6. Dates, a return, or a credit note explain the difference”If the bill was issued after the review date, the historical difference can be correct. Correct an incorrect date using the original document and the permitted correction process.
If the supplier issued a credit note for returned goods, also check the recorded return and its link to the original receipt. The credit note can reduce billed quantity while an unrecorded return leaves received quantity too high. For a price-only credit without a return, accounting checks that the document correctly reflects the price change and quantities.
Example and result check
Section titled “Example and result check”Supplier Example Metal Ltd delivers 10 valves. Odoo shows Received 10 and Billed 6. The bill contains 6 valves and no additional bill exists. Send the order and delivery note references to the supplier and request the bill for the remaining 4 valves. When it arrives, link it to the same order line, check it, and post it.
Refresh the report at the same date. If the new bill has a later date, the difference correctly remains at the old date; also check today’s position. Record the reason, owner, and deadline for an outstanding difference on the order, and give the information to accounting at month-end.
The displayed amount is not always the value of the difference between received and billed quantities: purchase billing rules also affect it. Use quantities and original documents to resolve the entry.
The report covers orders from approximately the year before the selected date. For historical reviews, check For the Last 365 Days; handle older lines directly on their orders. See the overview of all four reports.
