Review and correct attendance
Quick summary: Check an attendance against the employee’s actual working day before correcting a missing or incorrect entry.
Review an attendance
Section titled “Review an attendance”- Open Attendances, find the employee and date, and open the entry. Check the time zone when comparing a reported time with another system.
- Compare Actual Arrival and Actual Departure with the rounded arrival and departure used for reporting. A rounding difference alone does not mean the employee forgot to clock in.
- Review the exit log and any unfinished break or work-related exit. Check other entries on the same day before adding a missing attendance.
- If a correction is necessary, obtain the actual times and reason from the employee. With correction rights, change the editable arrival/departure fields or add the missing interval; do not create overlapping entries.
- Save, reopen the entry and verify the duration and daily total. Keep the correction reason in your established HR record so the change can be explained later.
Actual times and rounded times
Section titled “Actual times and rounded times”Actual arrival and departure are read-only reference fields. Editing a rounded time does not normally replace an already recorded actual time. If the reference itself is incorrect, ask the attendance administrator to resolve it; do not clear and re-enter fields to erase the original record.
The Gantt attendance dialog shows the exit log read-only. Use the full attendance form if your role permits a necessary exit correction.
Result and common problems
Section titled “Result and common problems”- A missing check-out is resolved only when the attendance has a valid end time and the daily total is correct.
- If saving reports an overlap, locate the other attendance and correct the wrong interval instead of deleting a valid record.
- If an entry was closed automatically, establish when work actually stopped before changing it.
- A corrected attendance does not itself approve overtime or change a time-off request. Review those decisions through their own workflow.
