Accept, sign, and pay through the portal
Quick summary: Acceptance, signature, and payment can be separate requirements; complete only the actions you are authorized to take.
Review before accepting
Section titled “Review before accepting”Check the supplier, your invoicing details, products or services, quantities, total, taxes, delivery terms, and validity date. Ask for a corrected quotation before accepting if any part is wrong. Signing can create a binding acceptance; do not sign on behalf of another person without authority.
Complete the requested actions
Section titled “Complete the requested actions”- Open the quotation or invoice from your portal.
- Read the full document and terms. Use the message area to ask a question if clarification is needed.
- If a signature is required and you agree, open the signature action, verify the signer’s name, enter or draw the signature, and confirm the acceptance shown on screen.
- If payment is required, open the offered payment action. Check the amount, currency, and payment method before confirming with the payment provider.
- Return to the document and verify the result. Keep the confirmation and check whether any further signature or payment step is still requested.
If the result is unclear
Section titled “If the result is unclear”A bank transfer instruction or pending payment is not confirmation that funds were received. After an interrupted card payment, check the document, confirmation email, and payment account before trying again; contact the supplier if the result remains unclear to avoid a duplicate charge.
Available actions depend on the supplier’s configuration and document state. If signing or online payment is absent, contact the supplier for the agreed alternative; do not assume a download alone accepts or pays the document.
