Invoiced Not Delivered: invoiced quantities exceed recorded deliveries
Quick summary: Invoiced Not Delivered shows sales order lines where invoiced quantity exceeds delivered quantity. Check whether delivery is pending, its record is missing, the invoice is incorrectly linked, or too much was invoiced. Then correct the delivery, records, or credit note.
When to use the report
Section titled “When to use the report”Open Accounting > Review > Sales > Invoiced Not Delivered. Review it regularly, preferably weekly, and at least at the end of every month.
An entry means invoiced quantity > delivered quantity. If the invoice covers 20 units but Odoo records 15 delivered, investigate the difference of 5 units.
A difference is not necessarily a mistake. It can be justified when invoicing before delivery by agreement or billing a service for a future period. The report does not confirm payment or guarantee the customer’s physical receipt of the shipment; check documents and proof of delivery.
Before you start
Section titled “Before you start”Gather the order, invoices, delivery notes, dispatch and delivery evidence, returns, and credit notes. For services, check the contract, service period, and completion evidence. Involve sales, inventory or the service provider, and accounting.
Check the entry
Section titled “Check the entry”- Select the review date with As of, using the last day of the month for month-end. Check the company and filters.
- Expand the customer, compare invoiced and delivered quantities, and check the unit of measure.
- Click the entry to open the sales order. Review all partial deliveries, related invoices, returns, and credit notes.
- Establish whether a posted invoice or a draft causes the invoiced quantity. Drafts can affect the report before the invoice is posted.
- Compare recorded delivery with the facts. Also check deliveries on other documents or orders.
- Establish which of the following scenarios applies.
1. Advance invoicing is agreed and delivery is pending
Section titled “1. Advance invoicing is agreed and delivery is pending”- Check the agreement, delivery date, and any advance-payment condition. Check payment status on the invoice.
- Check product availability or the service schedule. Sales coordinates the date with inventory or the service provider.
- Record the reason, expected date, owner, and next action on the order.
- When delivery actually happens, record the correct quantities and validate the appropriate document. Do not issue another invoice for the same quantity already invoiced.
- If delivery is delayed, tell the customer the new date and retain the agreement. At month-end, accounting assesses whether revenue must be deferred for the unperformed delivery.
Do not validate a delivery solely because the invoice has been issued or paid.
2. We dispatched the goods but the Odoo delivery is missing or incomplete
Section titled “2. We dispatched the goods but the Odoo delivery is missing or incomplete”- With inventory, check the delivery note, actual dispatch, quantities, and open delivery documents.
- If delivery was performed, enter the actual delivered quantities and click Validate on the correct document. Do not include goods that have not been dispatched.
- If the delivery belongs to the wrong order, the responsible person makes a traceable correction to both records and checks stock and valuation impacts.
- For direct delivery from the supplier to the customer, check evidence and the correct dropshipping record. Do not create a fictitious delivery from your own warehouse.
If the record correctly shows dispatch but the customer has not received the goods, investigate with the carrier and handle the delivery claim. Matching Odoo quantities do not resolve a lost shipment.
3. We delivered only part of the invoiced quantity
Section titled “3. We delivered only part of the invoiced quantity”- Check which products and quantities are missing and whether an open delivery exists for the remainder.
- If the remainder will be delivered, set a date and agree it with the customer. Keep an open delivery for the genuinely expected remainder.
- If it will not be delivered, obtain confirmation of the order change and resolve the outstanding inventory commitments.
- Accounting issues an appropriate credit note for the invoiced portion that has been permanently cancelled. Check the product, quantity, price, taxes, and order link, then send the credit note to the customer.
- If the invoice was paid, accounting also handles the agreed refund or credit balance. A credit note does not itself send a bank refund.
4. The invoice is linked to the wrong order or line
Section titled “4. The invoice is linked to the wrong order or line”- Compare the order reference, delivery note, customer, company, product, and unit of measure. When several orders contain the same product, establish the invoice’s actual purpose.
- Find the intended order and its deliveries. Ask the invoice owner to correct the link if permitted.
- If the incorrect link cannot be corrected directly, accounting chooses the appropriate correction process. Preserve traceability between the original and corrected documents.
- Check both orders. The link must reflect the actual delivery; matching descriptions or a manually entered order number on the invoice are not sufficient.
Do not validate an extra delivery on the wrong order just to match quantities.
5. We invoiced too much, the wrong product, or the same delivery twice
Section titled “5. We invoiced too much, the wrong product, or the same delivery twice”- Compare the invoice with the order and actual delivery. Check duplicate invoices, repeated lines, and units of measure.
- If the mistake is in a draft, correct its lines before posting and sending it to the customer.
- For an already posted invoice, accounting uses the permitted correction process. An excessive invoiced quantity normally needs a credit note for the difference; when a replacement invoice is needed, also check its correct link.
- Check the impact on the outstanding receivable and payments, and send the corrected documents to the customer.
Do not increase delivered quantity when no additional delivery occurred.
6. The customer returned goods but the credit note is outstanding
Section titled “6. The customer returned goods but the credit note is outstanding”- Check receipt of the returned goods and the link to the original delivery. A return can reduce delivered quantity while the invoice still covers the original full quantity.
- Establish whether a replacement or final return was agreed.
- For a replacement, set the new delivery date. Ensure that no duplicate invoice is created for the same quantity already billed.
- For a final return, issue an appropriate credit note. If it already exists, check its date, status, quantities, and link to the correct order line.
- Arrange settlement or a refund according to the agreement with the customer.
7. The service has not been performed or its completion is unrecorded
Section titled “7. The service has not been performed or its completion is unrecorded”If the service was performed, the responsible person verifies and records actual hours, quantities, or the achieved milestone. If not, schedule completion or agree cancellation and a credit note with the customer. For billing future periods, give accounting the contract and service period to assess deferral.
For manually recorded services, verify the historical position using completion evidence; selecting a past date alone does not guarantee a complete performance history.
Example and result check
Section titled “Example and result check”You invoice Example Office Ltd for 10 chairs before delivery. You deliver 8, and the customer permanently cancels the remaining 2 because of a delay. Sales records the agreement, inventory resolves the open delivery for the remainder, and accounting issues and posts a credit note for 2 chairs. If the customer already paid, accounting also handles the agreed refund or credit balance.
After the action, refresh the report at the same date and check today’s position. A later delivery or credit note can resolve today’s difference while the historical difference correctly remains. Do not change dates merely to remove an entry.
Every outstanding difference needs a reason, owner, next action, and deadline. At month-end, give accounting evidence of goods and services invoiced but not yet delivered.
The report covers orders from approximately the year before the selected date. For historical reviews, check For the Last 365 Days and review older orders separately. See the overview of all four reports.
